Events concentrate a year of spending into a single day or weekend, and most of that money is committed long before anyone knows what the weather will do or whether the headline act will make it. Event cancellation insurance covers the financial consequences when an event has to be called off, cut short or postponed for reasons outside your control. What event cancellation covers

The policy generally responds to your irrecoverable costs and, where you are running the event commercially, to lost revenue or profit. The trigger has to be a cause outside your control, and the list of accepted causes is where policies differ.

  • Cancellation, abandonment, postponement or curtailment of the event
  • Adverse weather, usually as a specified extension rather than automatically
  • Non appearance of a key speaker, performer or participant
  • Damage to or unavailability of the venue
  • Failure of essential utilities or transport disruption on some wordings

Weather is usually an extension, not a given

Most cancellation policies do not include adverse weather as standard, and where they do it is defined tightly. Cover may require the weather to make the venue physically unusable or to trigger an official warning, rather than simply making the day unpleasant. For outdoor events the weather extension is often the entire reason for buying the policy, so read the definition closely and check what evidence the insurer requires. Rainfall based parametric products also exist for some events.

Liability is a separate policy

Cancellation cover is about money, not about people. If a guest is injured at your event, or a marquee causes damage to the venue, that is public liability. Most venues and councils require evidence of liability cover as a condition of the booking, often at ten or twenty million dollars, and they will usually want to be noted on the policy. Organisers frequently need both policies, and they are usually arranged together.

Timing and what underwriters ask

Arrange cover as soon as you start committing non refundable money. Insurers will not write cover for a cause that is already foreseeable, so a policy taken out when the cyclone is already named is too late. Expect questions about the event type, attendance, venue, the budget and which costs are irrecoverable, whether the event has run before, and what contingency plans exist. Communicable disease and pandemic related cancellation is broadly excluded across the market.

What does event cancellation insurance cost?

It is usually a percentage of the sum insured, which is your committed costs plus any revenue you are protecting. Outdoor events, events in cyclone or storm seasons and events dependent on a single performer cost more. A broker can quote once they know the event, the date, the venue and the budget.

Is bad weather covered?

Only if you take the extension, and the definition matters. Some wordings require the weather to make the venue unusable or an official warning to be issued, rather than responding to rain that simply spoils the day. For outdoor events this is usually the most important part of the policy, so read it carefully.

Am I covered if the headline act pulls out?

Non appearance cover deals with this, and it is often a separate section with its own conditions. Insurers will usually want details of the performer and may exclude causes that were foreseeable, such as a known health condition. Raise it specifically if the event depends on one person.

Does it cover pandemics?

Generally no. Communicable disease and pandemic related cancellation is broadly excluded across the Australian market following the claims of recent years. If that is the exposure you are concerned about, your broker can tell you whether anything is available, but the honest answer for most events is that it is not.

Do I also need public liability for my event?

Almost certainly. Venues, councils and permit conditions usually require it, commonly at ten or twenty million dollars, with the venue noted on the policy. Cancellation cover protects your money, liability protects you against claims by people at the event. They are separate policies and most organisers need both.
